Who can see HR data

The owner decides who can see other people's attendance, absences, sick leaves, competencies, work logs, and schedules: everyone, their department, or only themselves.

HR data is sensitive. The owner configures who sees what about others. The system checks this on the server, not just the interface.

Basic rules

  • Owner and administrators can see and edit everything.
  • Everyone always sees their own data: timesheet, requests, schedule, profile.
  • All others see other people's data only within the limits set by the owner in the role.

Where to configure

Settings → Team & Permissions → role → "Access to HR data" section. For each item, select the level (None / View / Edit) and who it applies to (Everyone / Own department / Only self).

| Item | What it reveals | |---|---| | Attendance | clock-in and clock-out, late arrivals, hours; editing — manual timesheet adjustments | | Absences | that a person is absent and when; editing — approving requests and HR entries | | Absence type (sick leaves) | whether it's a sick leave, scans of sick leaves. Only with explicit permission | | Mark as absent | decisions regarding red days without a mark | | Competencies | qualifications and expiration date | | Completed tasks | planned and actual operations by day | | Schedules | shifts and schedules; editing — schedule settings |

"Own department" works based on the department the person is assigned to in the team.

If nothing is configured

It works as before: team members see colleagues' attendance and absences, and only the owner or administrator approves requests. To restrict this, set "None" in the role. No one sees the absence type without explicit permission, except the owner, administrators, and the person themselves.

Tip

A team lead usually needs "Attendance — View" and "Mark as absent — Edit" for their department, without absence type.
